Booking & Scheduling Settings
These rules prevent overbooking and make sure scheduling, dispatch, workforce capacity, customer booking forms, and the Smart Calendar all follow the same rules.
What this category does
These rules are the scheduling brain of Jarvix. They decide when customers can book, what times are available, how many jobs can be accepted, which ZIP codes are serviceable, how much travel buffer is required, and how the Smart Calendar protects Dispatch and Workforce capacity.
Arrival Windows vs Exact Times
Arrival Windows vs Exact Times
What this setting controls
This tells Jarvix whether customers and office staff choose arrival windows, exact appointment times, or both. It also controls the Smart Calendar time blocks used across the system.
Why this exists
Cleaning companies usually need arrival windows because job length, drive time, route order, and traffic change throughout the day. Exact times are useful for premium clients, commercial properties, access-restricted buildings, and jobs that require someone to unlock the property.
What happens when you change it
When you change this setting, the customer booking form, office booking form, smart calendar, dispatch board, reminders, customer portal, and AI Operator all change the way they display and validate appointment times. If the setting is wrong, customers can book times your company cannot realistically service.
Jarvix AI recommendation logic
Jarvix should recommend arrival windows when routes are busy or drive time is unpredictable. Jarvix should recommend exact times only when the company has enough dispatch control, reliable arrival performance, and enough staff capacity.

Daily Capacity Rules
What this setting controls
This controls how many jobs Jarvix allows per day, per team, and per cleaner. It protects the calendar from accepting more work than your operation can complete.
Why this exists
Overbooking causes late arrivals, rushed cleanings, payroll problems, complaints, refunds, bad reviews, and employee burnout. Capacity rules make Jarvix say βno more bookingsβ before the schedule becomes unsafe.
What happens when you change it
Changing capacity immediately affects Online Booking, Office Booking, Smart Calendar availability, Dispatch planning, route workload, and workforce demand. If the number is too high, Jarvix may allow too many jobs. If it is too low, you may lose revenue by closing available days too early.
Jarvix AI recommendation logic
Jarvix should compare booked jobs, service duration, available cleaners, team size, historical job time, drive time, and completion performance to recommend a safer daily capacity.

Service Area & ZIP Rules
What this setting controls
This controls which cities, ZIP codes, and service areas are available, blocked, surcharged, discounted, or assigned to specific service days.
Why this exists
Not every ZIP code costs the same to service. Some areas require more drive time, tolls, parking, higher labor cost, or special routing. This setting lets the owner protect profit and route quality by area.
What happens when you change it
When this changes, booking availability, price adjustments, Smart Pricing, route planning, dispatch assignment, and customer portal booking rules change. A blocked ZIP should prevent booking. A premium ZIP should automatically apply the correct surcharge or route rule.
Jarvix AI recommendation logic
Jarvix should recommend surcharges or service-day restrictions when an area has high travel time, low profit, high cancellation risk, or repeated late arrivals.

Booking Buffers & Travel Time
What this setting controls
This adds protected time between jobs so cleaners have realistic time to drive, park, unload supplies, handle delays, and still arrive professionally.
Why this exists
Without travel and job buffers, a calendar can look full and profitable but actually be impossible to operate. Buffers protect on-time arrival, route quality, employee performance, and customer satisfaction.
What happens when you change it
Changing buffers affects how many jobs fit into a day, how the smart calendar calculates openings, how dispatch builds routes, and how online booking displays available time slots. Bigger buffers reduce booking capacity but lower late-arrival risk.
Jarvix AI recommendation logic
Jarvix should recommend larger buffers when routes are spread out, crews are late, jobs are overrunning estimates, or complaints mention arrival time.

Online Booking Availability
What this setting controls
This controls which services, days, hours, service areas, and booking windows customers can access online without calling the office.
Why this exists
Online booking must follow the same company rules as office booking. If this is not connected correctly, customers may book unavailable services, wrong days, unsupported ZIP codes, or times your team cannot fulfill.
What happens when you change it
Changing this setting affects the customer-facing booking funnel, customer portal, Smart Calendar availability, service selection, lead conversion, and office workload. More availability can increase sales; too much availability can create operations problems.
Jarvix AI recommendation logic
Jarvix should recommend opening more online availability when capacity is underused and recommend restricting online booking when failed payments, cancellations, route issues, or workforce shortages increase.
